Creating tickets for tables
If you’re organising an event with group tickets or tables, you’ll often need a lot of information from each guest (e.g. dietary requirements). You’ll also need to provide a simple way for both you and the customer to understand and confirm details. There’s no need to create an event with a set of questions for each guest - using the below method, each guest will have a separate ticket, saving you time while creating the event and making the whole process easier for guests.
Using the minimum and maximum tickets functionality on each ticket type can dramatically decrease your admin time and make the whole process easy for your attendees.
Once you’ve started creating your event, you can add ticket types. For a table, create one ticket called ‘Table’ or a name that is appropriate for your event. For events where guests can also purchase single tickets (or smaller groups of tickets) create a second ticket e.g. ‘Individual’
For ease, it can sometimes be helpful to put the total price of the table in brackets next to the ticket name.
Total Tickets Available: How many seats do you have? For example, if you have 10 tables of 10 seats, set the total tickets to 100. This is just the total for this ticket type. If you’re also allowing all 100 tickets to be purchased on an individual basis, set both tickets available to 100 and set your event maximum to 100.
Restrict Quantity per order: Select ‘Yes’, this enables you to specify how many tickets can be bought per ticket type. For a table of ten, set the minimum to 10 and the maximum to 10. Now, only a full table can be purchased for this ticket type but ensures that each guest has their own ticket.
Ticket options: If you need to gather dietary requirements, complimentary drink orders or any other information for the evening, additional ticket options allow this. Using the minimum and maximum ticket numbers means each guest will be able to have their preferences entered, without having a 50-question list.
In this example, we’ve requested dietary requirements. These will appear for each ticket during the checkout process.
Your event page will look like this:
For the table tickets, which have been limited to groups of 10, customers will see the following:
When completing the ticket details, like name and additional options, each ticket will appear individually, allowing customers to go back and forth adding in the details of each guest, until completing the order. The progress counter can be seen below:
The order will show as one purchase of £1000 on your orders page and when downloading the CSV, the details will be shown as one order with ten tickets.
